Who we are


This website is operated by Seren Neurodiversity Specialists, a trading name of Kearns Consultancy. References to "Seren," "we," "us" and "our" throughout this policy refer to Kearns Consultancy trading as Seren Neurodiversity Specialists.

We are the data controller for the personal data collected through this website. This means we are responsible for deciding how and why your personal data is used.

What personal data we collect


We collect personal data in the following ways:

When you complete the booking or enquiry form, we collect your first name, last name, email address, the type of enquiry you are making, and any information you choose to share in the optional message field.

When you sign up for our newsletter or a free resource, we collect your email address and first name.

When you purchase a paid resource, we collect your name, email address and payment information. Payment is processed by a third-party provider (Gumroad or Payhip) and we do not store your card or payment details on our systems.

When you visit our website, we may collect technical data such as your IP address, browser type and pages visited through cookies and analytics tools. Please see our Cookie Policy for more detail.

We do not collect special category data, which includes health information, details about disabilities or neurodivergent conditions, through our website forms. Any sensitive personal information you choose to share in a coaching context is handled under a separate client agreement.

Why we collect your data and our lawful basis


Under UK GDPR, we must have a lawful basis for processing your personal data. We rely on the following bases:

  • Legitimate interests - when you submit an enquiry form, we use your contact details to respond to your enquiry. This is in both your interest and ours, and we do not believe it overrides your privacy rights.

  • Contract - when you book a coaching service or purchase a resource, we process your data as necessary to deliver that service or product and to fulfil our contractual obligations to you.

  • Consent -when you sign up for our newsletter or a free resource, we rely on your consent to send you email communications. You can withdraw your consent at any time by clicking the unsubscribe link in any email or by contacting us at emma@sere-neurodiversity.co.uk

We do not use your personal data for automated decision-making or profiling.

 

How we use your data


We use the personal data we collect to:

  • Respond to your enquiries and booking requests

  • Deliver coaching services and products you have purchased

  • Send you the newsletter or free resources you have requested

  • Improve our website and understand how visitors use it

  • Meet our legal and contractual obligations

We will never sell your personal data to third parties. We will never share your personal data with third parties for marketing purposes.

Who we share your data with


We share your data only with trusted third-party service providers who help us operate our business. These include:

  • Wix — our website platform, which hosts our booking form and stores form submissions. Wix is GDPR compliant and processes data in accordance with its own privacy policy.

  • Google Workspace — we use Gmail to manage email correspondence and Google Drive to store documents securely.

  • Calendly — if you book a call through our scheduling system, Calendly will process your name, email address and the time of your booking.

  • Mailchimp or Flodesk — our email marketing platform, used to send newsletters and deliver free resources. You can unsubscribe at any time.

  • Google Analytics — we use Google Analytics to understand how visitors use our website. This tool collects anonymised data about your visit. You can opt out of Google Analytics tracking by adjusting your cookie preferences.

All third-party providers we use are required to handle your data securely and in accordance with UK GDPR. We do not authorise them to use your data for their own purposes.

How long we keep your data
We retain your personal data only for as long as necessary for the purpose it was collected:

  • Enquiry form submissions — we retain these for 12 months after your last contact with us, in case you return with a related enquiry.

  • Client records — if you become a coaching client, we retain relevant records for 6 years from the end of our working relationship, in accordance with HMRC requirements.

  • Email marketing — we retain your email address and name for as long as you remain subscribed. When you unsubscribe we will remove you from our mailing list within 30 days.

  • Purchased resources — we retain your order details for 6 years for accounting purposes.

  • Analytics data — anonymised website analytics data is retained in accordance with Google's own retention policies.

When your data is no longer needed, we will delete or anonymise it securely.

  1. Your rights under UK GDPR
    Under UK GDPR and the Data Protection Act 2018, you have the following rights in relation to your personal data:

  • The right to access — you can request a copy of the personal data we hold about you at any time.

  • The right to rectification — if any personal data we hold about you is inaccurate or incomplete, you have the right to ask us to correct it.

  • The right to erasure — in certain circumstances, you have the right to ask us to delete your personal data. This is sometimes called the "right to be forgotten."

  • The right to restrict processing — you have the right to ask us to limit how we use your personal data in certain circumstances.

  • The right to data portability — where we process your data on the basis of consent or contract, you have the right to receive your data in a structured, machine-readable format.

  • The right to object — you have the right to object to our processing of your personal data where we rely on legitimate interests as our lawful basis.

  • The right to withdraw consent — where we process your data on the basis of consent, you have the right to withdraw that consent at any time. Withdrawing consent does not affect the lawfulness of processing carried out before you withdrew it.

In the event of a data breach that is likely to result in a risk to your rights and freedoms, we will notify the ICO within 72 hours and inform you without undue delay where required.

  1. Children's privacy
    Our website and services are intended for adults only. We do not knowingly collect personal data from anyone under the age of 18. If you believe we have inadvertently collected data from a minor, please contact us immediately at emma@seren-neurodiversity.co.uk and we will delete it promptly.

  2. Links to other websites
    Our website may contain links to third-party websites, including our social media profiles and third-party tools. We are not responsible for the privacy practices of those sites and encourage you to read their privacy policies before providing any personal data.

    We may update this privacy policy from time to time to reflect changes in our practices or legal requirements. The most recent version will always be available on this page, with the date it was last updated shown at the top. We encourage you to review this policy periodically.
